Host consent template
You're hosting an event on Galeira. Before guests upload photos, vote in your poll, or have their faces grouped by our optional "Find your photos" feature, they need to know what's happening with their data and have a real choice. This is a privacy law requirement in most of the world (GDPR Article 9 for biometric data; CCPA / CPRA "sensitive personal information"; Illinois BIPA; Brazil LGPD; UK GDPR; Canada PIPEDA, etc.) — but it's also just decent manners.
Pick the section that matches your event style and drop it into your invitation, RSVP page, or save-the-date. These are templates, not legal advice — adapt the wording to your guests and jurisdiction.
A. Short notice — for save-the-dates and casual events
We'll be sharing photos through Galeira. By RSVP'ing, you're OK with photos and videos taken at the event being uploaded to a private gallery only invitees can see. If you'd prefer not to appear, just let us know.
B. Full notice — for weddings, conferences, anywhere with formal RSVPs
About photos at our event. We're using Galeira to collect and share photos and videos from the day. By attending, you agree that:
- Photos and videos taken at the event (including those of you) may be uploaded to a private gallery only invitees can see;
- You may upload your own photos and short voice messages via the QR code we'll share on the day;
- You can request your image be removed at any time — message us or email [your email] and we'll take it down within 7 days.
Face grouping (optional). So everyone can find their own photos easily, Galeira can group pictures by face. This uses mathematical "face vectors" — biometric data under most privacy laws — processed by Galeira's moderation provider (Amazon Rekognition, EU region). Vectors are encrypted, deleted when the gallery closes, never shared, never used to train any model, and never matched across events. This feature is off by default. If we turn it on, you'll see a notice on the gallery page; you can opt out, ask us to delete your vector, or hide your face from grouping at any time.
Children. If you're bringing children, please let us know before the event so we can mark their photos as restricted in the gallery.
Questions or requests. Email [your email] for anything related to your image or data at this event. Galeira's own privacy policy is at galeira.com/legal/privacy.
C. Funeral / memorial events
We've created a private memorial gallery on Galeira so we can collect photos and memories of [name] from everyone who knew them. The link will be in the order of service. Anyone can upload; everyone who attended can view. We'll keep the gallery open for [duration], then it stays private to the family. If you'd prefer photos of yourself or your children not appear, please let us know on the day.
D. Children-focused events (school plays, sports, recitals)
Photos and videos from [event] will be shared in a private Galeira gallery, accessible only to families who have the link. We will not enable face grouping for this event. If you do not want photos of your child to appear, please tick the box on the RSVP form — we'll skip uploads tagged with that child or remove them on request.
For under-16s we follow GDPR-K / COPPA principles: no marketing, no profiling, no third-party sharing.
E. Workplace / corporate events
Photos and videos from [event] will be uploaded to a private Galeira gallery accessible to attendees. By attending, you consent to your image being captured and shared in that gallery. The gallery is not used for performance review, screening, or any HR decision. You can request your image be removed at any time — email [HR / event lead].
What to do on the day
- Print a small "photos at this event" card near the entrance so people who didn't see your invitation know what's happening.
- Tell your photographer to skip anyone wearing a no-photo wristband (if you're using them).
- If a guest asks for a photo removal, just message Galeira support or use the report link at galeira.com/report — we action takedowns within 7 days.
