The hired photographer covers the keynote and the awards, but the candid moments — the dinner table the CEO walked past, the breakout room where the deal closed, the dance floor at the holiday party — live on employee devices and never make it to internal comms.

For in-person venues, one code per event works for groups under ~300. For larger summits, you can split by track, day, or city — each QR feeds the same parent gallery so the host dashboard stays a single pane. Anyone can upload; only people with the host link can moderate, download originals, or push to the corporate cloud.
Hybrid events get the same flow. The QR also resolves to a short URL, which works in calendar invites, post-event emails, and remote tools. Late uploads from employees who forgot at the event still flow into the same gallery for up to 30 days, with a configurable cutoff per event.

Cloud backup to corporate Drive / OneDrive / S3 (compliance angle)
Galeira holds working copies, but the originals are the company's. Every upload mirrors to a cloud destination the company already owns and audits: a corporate Google Drive folder, a SharePoint or OneDrive site, an S3 bucket, or a self-hosted equivalent via S3-compatible storage. Set the destination once at the workspace level; every event under that workspace inherits it.
This matters for retention policy. The corporate side keeps the original, full-resolution file under the company's existing DLP, retention, and access controls. Galeira's working copy can be set to expire (30, 90, 365 days, or never) without touching the archive. If the gallery is ever deleted, the corporate cloud copy stays.
Mirroring is one-way and append-only by default. Approval state, captions, and tags travel with each file as sidecar metadata, so the company-side archive stays useful for future highlight reels, recruiting decks, and internal anniversary content.
After the event: highlight reels for internal comms + LinkedIn safety
The week after the event is when most galleries die. Galeira's after-event view is built for the comms calendar instead. The host dashboard surfaces a Suggested Highlights row — approved frames, scored by clarity, faces visible, and uniqueness, ready to drop into a Monday all-hands deck or a Thursday newsletter.
For LinkedIn and public posts, every shared frame carries a check: did the person in frame opt out? Is the slide content flagged as confidential? Is there a logo conflict? The dashboard answers before the comms lead hits download. Public-share links can be set to watermark, downsize, or strip EXIF on the way out.
Internal reels stay separate. Comms can build a private highlight reel using the same approved pool, with no risk that an unapproved frame slips through to LinkedIn. The same gallery feeds both lanes, and the moderation queue is the single source of truth.
Back up originals to a cloud you already own.
Galeira stores the event gallery so guests can view and download it, but the important part is ownership. When you connect a cloud destination, approved originals mirror to a place you control: Google Drive, Dropbox, OneDrive, S3, or WebDAV. The backup-status page shows what copied, what is pending, and what needs attention.
External cloud-provider outages and account deletions are outside Galeira's control — which is exactly why the receipt matters. You can verify, retry, and export while your archive is active.
